Real IT questions San Antonio businesses ask us

These are the situations we see most often. If any of them sound familiar, you are not alone, and there is usually a straightforward fix.

We already pay someone a high salary. Why do we need outside IT support?

This is one of the most common situations we run into. A director, office manager, or chief of staff ends up handling IT because they are tech-savvy relative to everyone else in the office. It seems efficient until you do the math. An $80,000-a-year employee costs roughly $38 an hour. Three hours of troubleshooting a wifi problem that still does not get resolved is over $100 in salary cost, plus the problem is still broken. A managed IT call costs a fraction of that and actually gets fixed. High-level staff should be focused on the work you hired them to do. IT is a specialty. When the two get mixed together, everybody loses.

We bought some software to solve a problem. Now we have too many tools, and nothing works together.

This happens constantly. A team member sees a problem, Googles a solution, and signs up for a service. Six months later, you have three tools doing overlapping things, and nobody knows which one is the source of truth. We had a client using RingCentral for employee text messaging and a free Google Voice account to text clients at the same time. Two separate systems, two separate contact histories, and no way to see the full picture. That kind of fragmentation costs time every single day. Part of what we do is look at your full technology stack and identify where you are paying for the same thing twice or where gaps are creating problems you have not connected to IT yet.

Our employees use personal Google accounts and Dropbox to share files. Is that a problem?

Yes, and it is a bigger problem than most people realize until it is too late. When an employee stores company files in their personal Google Drive or Dropbox, that data belongs to them, not you. If they leave, get let go, or become unreachable for any reason, getting that data back ranges from difficult to impossible. The fix is straightforward. Centrally managed file storage under your company domain, so all data stays yours regardless of what happens with any individual employee. We can set this up quickly and migrate existing files without disruption.

Windows Defender is free and built in. Do we really need paid antivirus?

Windows Defender is fine for a personal computer where one person is paying attention. It is not adequate for a business where multiple employees are clicking on things all day, and nobody is monitoring what is happening. The difference with managed antivirus is that someone is actually watching. When an employee clicks something they should not, closes a warning they did not read, or plugs in an unknown USB drive, you get an alert. With Defender alone, you find out when something has already gone wrong. Most ransomware attacks on small businesses succeed not because the security software failed but because nobody was watching the alerts. We deploy and centrally manage endpoint protection across all your devices, so you are not depending on employees to make the right call every time.

We do not have any documentation for IT. Is that a big deal?

It becomes a big deal the moment anything changes. A new hire who does not know how to set up their Outlook. An employee who leaves and takes all the passwords with them in their head. A vendor who needs access to something, and nobody knows the login. We help businesses build simple, practical IT documentation. Things like how to onboard a new employee, how to set up company email on a phone, who to call when something breaks, and where all the important credentials are stored securely. It does not need to be complicated. It just needs to exist.

How do I know if I actually need managed IT support or just occasional help?

Generally speaking, if you have more than 10 employees, handle any kind of sensitive data, or find that IT problems are pulling people away from their real jobs more than once a month, managed support starts to pay for itself. If you are smaller or just need occasional help, we offer on-demand support with no contract required. The honest answer is that it depends on your situation, and we are happy to tell you which one makes sense after a short conversation.

Have a question that is not covered here? Just ask. We give straight answers, and we do not charge for a conversation.
